RMM ↔ CRM synchronization

How to link companies, locations and equipment between RMM and CRM without duplicates.

CRM → Sync shows proposed links between RMM and CRM objects. Start with preview, not immediate bulk save. Presets (careful / standard / aggressive) change how loosely names match.

  1. Open CRM → Sync (/crm/sync).
  2. Run a matching preview for companies / locations / equipment.
  3. Start with a careful preset (fewer false links).
  • Aggressive mode links more — easier mistakes with similar company names.
  • Spot-check a few rows manually before bulk approve.

“Apply all safe” writes only pairs the backend treats as unambiguous (high confidence, no name collision). That is a narrower set than manual “Link selected”.

  1. Set the preset and confidence threshold, then refresh preview.
  2. Check the SAFE preview section — an empty group means the filter is too tight, not that companies are missing.
  3. Apply SAFE in batches; link low-confidence pairs manually or fix names in My companies / Clients first.
  • Careful + 90% threshold often leaves the list empty — that is intended.
  • Backend SAFE rejects show up in the post-save validation note and in the audit filter “SAFE rejected only”.

Approve only correct pairs. Unlink bad matches instead of creating a second client quickly. After unlink, fix data and link again.

  1. Review proposed links.
  2. Approve good ones; reject or unlink bad ones.
  3. On the CRM client card confirm linked devices / locations appear.
  • Goal: one CRM client ↔ the right RMM company / devices.
  • Clean CRM duplicates first, then sync.

Keep sync operations auditable — who linked what. If CSV export exists, use it after a larger migration.

  • After importing many companies, spot-check 5–10 clients.
  • Renaming companies after sync can break future auto-match — keep names stable.
  • When something looks wrong: unlink → fix data → preview again.
