CRM reports
How to open reports, read profitability/costs and use them in customer conversations.
Entry and filters
Section titled “Entry and filters”CRM → Finance → Reports (/crm/reports). Set the rolling period and optional company / assignee / partner before drawing conclusions. Mixing the monthly card with the 30/90/180/365-day window misleads period comparisons.
- Open CRM Reports.
- Pick the rolling period (30 / 90 / 180 / 365 days) at the top — that window starts from server “now”, not a calendar month. The Monthly summary card is separate (chosen month, fulfilled quotes only).
- Optionally search for a company — profitability, operations, and CSV/PDF narrow. Assignee and partner narrow operations. None of these filters change the monthly card or the AI audit.
- From the client card, Full report opens Reports with that company already selected.
- Compare like periods (month over month, or the same rolling window).
- Complete the data first (closed cases, current subscriptions), then conclude.
- In the AI audit, a quote number opens the card; Cancel / Esc returns to Reports.
Profitability and costs
Section titled “Profitability and costs”Look at recurring + sales revenue vs costs / labour. A noisy client with low margin is a scope or price conversation.
- Many cases on a cheap retainer = under-scoped care.
- Keep equipment / license costs on the client (expenses, vault, licenses).
- Do not “fix” a report by deleting case history — fix the process.
Export and customer conversations
Section titled “Export and customer conversations”If export exists, use it for internal review or a quote attachment. Show customers a simplified view (SLA, case count, care scope), not a raw internal dump.
- For the customer: what we did / what the retainer covers.
- For the team: margin, overtime, loss-making clients.
- After a QBR, update the recurring service and follow-up tasks.
