Recurring services (subscriptions)
How to add managed-care subscriptions, see them on the client card and tie them to tasks and automatic deadlines.
Create a recurring service
Section titled “Create a recurring service”CRM → Finance → Recurring services is for ongoing care (e.g. IT retainer). Set client, service name, net amount, interval (month/quarter/year) and start/end dates.
- Open /crm/recurring-services (optionally ?add=1).
- Pick the client (the field starts empty until you choose one; a single-company filter fills that client in) and describe the service (scope in the name or note).
- Set amount, interval and start date; save.
- Amount and scope must match the contract / quote — they feed profitability later.
- One service = one clear product (split care vs cloud backup if billed separately).
- On the Recurring services list, the name opens the record; Cancel leaves you on the list. The list omits the service description and notes — the full text is in edit.
On the client card
Section titled “On the client card”The client card shows active subscriptions next to cases and equipment. In a sales call you immediately see what they already pay for.
- Before upselling, open the client card and recurring services list.
- On the client card, the subscription name opens the record; Cancel returns to the card.
- Mark ended / paused as soon as a contract is cancelled.
Deadlines and revenue
Section titled “Deadlines and revenue”Renewal dates should show up in Automatic deadlines and as a follow-up in Tasks. In CRM reports, recurring services shape revenue and margin — keep them current.
- Subscription end → automatic deadline → “renewal call” task → quote.
- Price change: update the service or add a new one with a new start date (per your process).
- Do not leave dead subscriptions on the list.
