Equipment, licenses and vault
Customer inventory, license renewals and safe storage of passwords.
Customer equipment
Section titled “Customer equipment”CRM → Equipment is the asset register at the customer. Add manually or link / import from an RMM device so technicians see the same PC in both modules.
- CRM → Assets / Equipment → Add equipment. The list omits notes — the text is in edit and in CSV.
- Pick the client (the field starts empty; a single-company filter on the list fills that client in) and fill type, manufacturer, model, location and serials.
- If an RMM device exists — link it for online status and AnyDesk context.
The client card (Equipment tab) and CRM → Equipment list show the custom name / hostname and, on a second line, brand and model — the model line ellipsizes so it does not run into the type column. Type (e.g. Laptop) stays separate. Status shows an RMM linked or No RMM link badge. The ☰ Actions menu uses the same icons as the quotes list. The name or Edit opens the equipment record; Cancel / Esc / backdrop returns to the client card. On the Equipment list, the name also opens the record; Cancel leaves you on the list. When a vault entry is linked to the asset, the eye next to the dots is on the list and in the edit dialog. When adding equipment, type the password with the same eye — it is saved to the vault. The add/edit window, including the Remote desktop (AnyDesk / TeamViewer) block, follows the panel theme (light/dark) — it is a form, not a white document sheet.
From the Service hub (in-service equipment) or Assets, Cancel returns to that hub. From automatic reminders, the workbench, or an RMM device card, Cancel returns to the source.
- Maintenance / warranty reminders can live on the equipment record when available.
- Equipment without a client breaks reporting — always assign the company.
Software licenses
Section titled “Software licenses”CRM → Licenses: track renewals, seats and compliance. Keep license keys in the Vault, not in an open note on the list.
- Set a renewal date and “Remind (days before)”. Inside that window the account manager gets a bell to create an offer; the client accepts or rejects it. When adding, the client field starts empty until you pick a company; a single-company filter fills that client in.
- Compare with apps visible in RMM during a customer audit. The sold name can stay (for example Acronis Backup) while the variant (True Image) matches the program installed on the computer. The key stays in place.
- When adding or editing, type an equipment name or hostname and pick the computer. The No RMM link badge means that equipment has no RMM device. When it does, the list and the card show an RMM link to that computer.
- One license record → one client (or a clearly described multi-tenant scope).
- From the client card (Licenses tab) or license-key audit, Cancel / Esc / backdrop returns to the source.
- On the Licenses list, the product name opens the record; Cancel leaves you on the list. The list omits license notes — the full text is in edit and in CSV.
- The Vault badge means the key is in Vault. The eye next to the dots reveals it on the list / client card; in the add/edit dialog the same eye is used when typing and for a key stored on the record. Open Vault only to edit the entry.
Password vault
Section titled “Password vault”CRM → Vault stores customer secrets (passwords, keys, codes). You reveal entries deliberately — use this instead of chat or spreadsheets.
At walk-in intake or on the client card you do not need to open the Vault to reveal a service password:
- Open the client (or the intake case).
- Under the client name you will see Service passwords. On a case — a Computer password strip under the title.
- Click the eye next to the dots — the password reveals on that card. On the Equipment tab, the CRM → Equipment list, the equipment edit dialog, and Vault the same control sits on the entry.
The full entry list (router, mail, panels) is still CRM → Vault. The Client vault link from the card opens the filtered list; Cancel returns to the card.
- Open CRM → Vault.
- Create an entry: client, title, secret, optional link to equipment / license.
- When working at the customer, reveal only for the session and do not paste into public tickets.
- Vault access depends on permissions — not every role should see every secret.
- AnyDesk / local admin password → vault; AnyDesk ID → RMM device card.
- On the Vault list, the name opens the record (it does not reveal the password); the eye next to the dots reveals it in the Password column. Cancel leaves you on the list.
- From the workbench, the eye next to the dots stays on Relations. The entry name opens the vault card (edit); Cancel returns to Relations. The count tile stays on Relations (it does not dump you onto the vault list).
- The Vault badge on a license (when the key is in Vault) does not leave the page — the eye next to the dots reveals it in place.
